Structure of a professional complaint letter

Tone: professional and factual
A complaint letter is not an angry email. Use a business-like tone — state facts, cite dates, refer to agreements or contracts. Emotional or insulting language weakens your legal position. State clearly: "On [date] I received [product/service] that does not meet [specification] from your offer [reference]."
