Event planning as PDF: from checklist to supplier contract

Event planners juggle dozens of suppliers, tight deadlines and complex logistics. PDF is the format that brings everything together: venue floor plans, catering briefings, contracts, running orders and evaluation forms in one consistent package.

Master planning checklist

Create one master planning PDF per event with all tasks, responsible persons and deadlines. Use a fillable PDF form with tick boxes per task. A digitally signed version of the checklist serves as confirmation of agreements with the team. Export the completed checklist afterwards as an archive.

Floor plan and room layout

Floor plans of the event venue as PDF are the basis for every briefing. Add markings via PDFrust's annotation tool: table A, stage, exit, catering zone. Share this document with all suppliers so everyone is working from the same map.

Supplier contracts and confirmations

Catering, AV technology, decoration, security, transport — each supplier contract as PDF. Add a signature field for digital signing. Store all signed contracts in a shared folder sorted by supplier. After the event: add an evaluation note to each contract as a reminder for next time.

Running order for guests and team

Create two versions of the running order: a guest version (times, locations, dress code, parking) and a team version (including technical briefings, backstage moments, emergency contacts). Print the team version as a small card that fits in a breast pocket — always at hand.

Briefing package for speakers and performers

Speakers, musicians and other performers receive a briefing package PDF: programme, times, technical rider, on-site contact person, dressing room number and directions. Send this 2 weeks in advance, not 2 days.

Post-event evaluation

After the event: create an evaluation PDF with participant feedback, cost vs. budget analysis, supplier evaluations and recommendations for the next edition. This document becomes more valuable each year — good archiving of event evaluations is the basis for improvement.
