PDF in logistics and transport: managing freight documents efficiently

Transport and logistics companies deal with a flood of documents: waybills, CMR, packing lists, customs declarations and invoices. The right PDF approach saves time, reduces errors and simplifies audit trails.

CMR waybill as PDF

The CMR (Convention on the Contract for the International Carriage of Goods by Road) waybill is the official transport document for international road freight. Digital CMR copies as PDF are legally recognised in an increasing number of EU countries. Save each CMR as PDF with date and trip number in the filename: CMR_2026-07-10_AMSTERDAM-PARIS.pdf.

Creating and storing packing lists

An accurate packing list is essential for customs and damage claims. Create packing lists as fillable PDF templates that drivers or warehouse staff can fill in. Add a stamp upon verification: CHECKED + signature + date. Save the approved version as a non-editable PDF.

Merging customs documents

For cross-border transport you should have multiple documents per shipment: invoice, packing list, CMR, certificate of origin and possibly veterinary certificates. Merge them into one PDF so the driver has one file on their tablet rather than loose documents.

Digital signature for transport documents

Electronic signatures on CMR and waybills are legally valid in the EU (eIDAS regulation). A digital signature from the driver as PDF signing is legally binding. Use PDFrust to add a signature and lock the document against further changes.

Damage registration on delivery

In case of damage to goods during transport, document the condition of the load on arrival. Photos of the damage + note on the waybill + recipient signature — store everything together as one PDF. This is the evidence for a damage claim with the insurer or liability claim against the carrier.

Transport companies are required to retain documents — fiscally a minimum of 7 years, longer for some cargo types. Use a consistent folder structure: /Transport/2026/07/CMR_20260710.pdf. Store metadata (sender, recipient, cargo type, trip costs) in the PDF metadata for easy filtering during audits.
