PDF for complaint management: bundling correspondence and preserving evidence

In a dispute with a company, insurer or government body, the quality of your documentation matters. A well-maintained PDF file with timestamps, correspondence and evidence makes the difference between a successful and failed complaints procedure.
Saving correspondence as PDF
Emails are the most ephemeral evidence — they can be deleted, mailboxes closed. Save every relevant email as PDF using your email programme's print function. Use "Print to PDF" in Outlook, Gmail or Apple Mail. Also preserve chat messages — take a screenshot and convert to PDF.
Timestamp as evidence
The receipt date of a complaint is legally relevant. Add a timestamp to every page of your file using PDFrust's header/footer tool: "Received: 2026-07-10 14:23". Also keep the original email headers with dates as proof of sending and receipt.

A complaints file consists of multiple documents: the original contract, the complaint letter, the company's response, photos of damage, invoices. Merge everything into a chronologically ordered PDF. Add a table of contents so a mediator or judge can quickly understand the structure.
Stamps for document status
Give documents a clear status: RECEIVED, SENT REGISTERED POST, REJECTED, APPEAL SUBMITTED. Use PDFrust's stamp tool to visibly add this status to each document. In legal proceedings, an orderly file with status markings is a great advantage.
Securing and making PDF irrefutable
Make sure nobody can later claim your documents were altered. Save each version of the file with a date in the filename. Use hash calculation (MD5/SHA256) when creating — this later proves the file has not been changed. For legal certainty: send the file by registered post to a notary or lawyer as a timestamp.
Sharing the file with legal assistance
Once you engage legal help — legal expenses insurance, legal aid, lawyer — you need to be able to share the file. Compress the combined PDF so the file size is suitable for email attachments. Use a password if the information is sensitive and share the password separately.
