PDF or Word: when should you use which format?

PDF and Word are the two most widely used document formats, but they serve different purposes. Knowing when to choose which format saves a lot of hassle.

When should you choose Word (.docx)?

Choose Word when you still want to edit the document, when others need to add comments, or when the layout is not yet final. Word is the standard format for writing and editing documents in office environments.

When should you choose PDF?

Choose PDF when the content is final and you want to prevent accidental changes. PDFs look the same on every device and every printer. Send contracts, quotes, reports and forms as PDF.

Can I convert a PDF to Word?

It is technically possible but not ideal. Complex formatting (tables, images, multiple columns) rarely survives the conversion without errors. Use the "PDF to text" tool on PDFrust to extract the raw text and paste it into Word. For professional conversion of large documents, Adobe Acrobat Pro or a paid OCR service is more reliable.

Signing or filling in a PDF

Does a PDF need to be filled in or signed? Use the "Fill PDF form" or "Sign PDF" tools on PDFrust respectively. You do not need to convert the PDF to Word for that.
