Quote as PDF
A quote as PDF looks more professional than a Word document and is harder to accidentally alter. Create a template with your logo, contact details, an itemised price breakdown and validity period. Use PDF watermark to lightly overlay "QUOTE" across the document as a visual cue.
Invoice as PDF
Your invoice PDF must contain all legally required information: your name/company name, company registration, VAT number, invoice number, invoice date, payment terms and an itemised description. Add PDF page numbers for multi-page invoices. Always send as PDF — never as Word.

Services agreement
A written services agreement protects both you and the client. State the scope, rate, timeline, intellectual property ownership and cancellation terms. Create as a PDF with fillable fields, have the client sign digitally, then flatten. Keep a copy in your archive.
Portfolio as PDF
A portfolio as PDF is sent as an attachment with your proposal. Merge project descriptions, screenshots or designs using PDF merge. Use PDF compression to keep the file small enough for email (maximum 5–10 MB). Add a QR code linking to your online portfolio for more examples.
Timesheet
