PDF for law firms: pleadings, correspondence and case files

Law firms work with documents that have legal value, must be securely retained and are increasingly submitted digitally to courts. PDF is the universal standard format for every pleading, contract and client file.
Court documents and pleadings
Claim forms, defences, witness statements and skeleton arguments are submitted to courts as PDFs. Many court portals (HMCTS, federal courts) require PDF/A for final filing. Use PDF merge for exhibits and bundles. Add page numbers for navigation in large trial bundles.
Contracts and agreements
Sale agreements, shareholder agreements, NDAs and employment contracts are drafted, negotiated and signed as PDFs. Use version control (watermark with revision date). Sign the final version digitally and flatten — locking the content at the moment of execution.

Client files
A client file contains correspondence, contracts, court documents and attendance notes. Merge all documents per matter into one chronological PDF. Retain for the required period under professional obligations. Protect files with a password and store encrypted.
Bills and invoices
Legal bills must be itemised: date, time spent, hourly rate, description and VAT. Create as a PDF template with fillable fields. Use PDF page numbers for detailed monthly bills. Sign digitally and email to the client.
Managing large files for court portals
Some court portals limit maximum file size (often 10–25 MB). Use PDF compression to reduce large bundle PDFs. Split into volumes via PDF split where the bundle can logically be divided.
