PDF for installation trades: documents from quote to handover
2 min read·25 July 2026
Installation companies (plumbers, electricians, HVAC technicians, alarm installers) work with quotes, job sheets, inspection reports and certificates. PDF makes all those documents professional and archivable.
Quote and specification
An installation quote specifies: the work scope, material costs, labour costs, estimated build time and VAT. Create as a PDF template with fillable fields. Merge technical drawings or specifications using PDF merge. Client signs for agreement.
Job sheets
A job sheet describes what an engineer must carry out at a client: address, contact person, description of the problem and required materials. Create as a PDF form. The engineer completes the work done and the client signs acceptance on completion.

Inspection reports
Periodic inspections of boilers, electrical installations or security systems are documented as reports. Create as a PDF checklist with fillable fields for each inspection point. Add photos (JPG to PDF) of identified defects. Client signs and receives a copy.
Certificates and compliance testing
Electrical installations are tested and certified (BS 7671 in the UK). Gas engineers issue safety reports. Store all certificates per property as PDFs. Note the expiry date in the file to schedule recertification in time.
Handover documentation
On handover of an installation, the client receives: an as-built drawing, a user manual and warranty certificates for installed equipment. Merge everything into a clear PDF handover dossier using PDF merge.
