PDF for childcare: forms and documents for nurseries and childminders
2 min read·25 July 2026
A childcare setting or childminder works daily with documents that must be well managed: registration forms, consent declarations, daily reports and emergency procedures. PDF keeps everything readable, archivable and shareable.
Registration and consent forms
Registration forms collect medical information, emergency contacts, allergies, collection permissions and consent for outings. Create a PDF form with fillable fields for all relevant sections. Parents complete it digitally, sign and return it. Flatten afterwards so the filled values can no longer be changed.
Daily reports
Many childcare settings send parents a daily report on feeding, sleep, mood and activities. Create a template as a PDF with fillable fields and save a completed copy per child. Send as a PDF attachment or via a secure link.

Policy handbook
A childcare setting needs a policy handbook (collection and drop-off policy, illness protocol, privacy, complaints procedure). Create this as a PDF so it is easy to share and archive. Use PDF merge to add appendices such as emergency procedures and floor plans.
Medication consent
When a child receives medication, a signed consent form is required. Create a separate PDF form for this: medication name, dosage, timing and parent signature. Keep on file per child.
Privacy and data protection
Childcare settings process sensitive personal data about minors. Store PDF documents containing personal data as password-protected PDFs or send only via a secure channel. Document the retention policy for each document type in writing.
