Protect client files
Psychological reports fall under the strictest confidentiality obligations. Store every client file as a strictly protected PDF — password mandatory, copying and printing disabled. Never store files in unsecured cloud storage. Choose an access protocol that demonstrates who had access and when.
Format diagnostic reports
A psychological diagnostic report consists of the anamnesis, test results (IQ tests, personality profiles), the diagnostic conclusion, and treatment advice. Merge all components into one protected document. Flatten any handwritten notes (as scans) before archiving.

Sign consent forms
Consent forms for treatment, video recordings, and third-party reports are signed digitally. Use the Sign tool for the digital signature of both the psychologist and the client. Flatten signatures and archive in the file.
Create referral letters
Referral letters to psychiatrists, GPs, or specialists are sent as PDFs. Attach relevant test results as appendix. Sign the letter digitally. Never send an unprotected file as attachment — use secure email or a protected portal.
Anonymise reports for supervision
During supervision and peer consultation, cases are discussed. Use the Redact tool to permanently remove names, ID numbers, place of residence, and other identifying data before introducing a case. Store the anonymised version separately.
