PDF guide for real estate agents and buyer's advocates
2 min read·15 October 2026
Real estate agents manage transactions involving dozens of documents: viewing reports, purchase agreements, title deeds, and mortgage files. The right PDF tools shorten turnaround and professionalise every client interaction.
Compose a viewing report
After a viewing the agent prepares a report with photos, floor plan, and observations. Merge all elements into one PDF using the merge tool. Upload the photo sheet (JPG → PDF with jpg2pdf), floor plan, and text report separately, then combine them into one clear report. Stamp the report with the viewing date and your name as the responsible agent.
Bundle purchase agreement and attachments
A purchase agreement consists of multiple documents: the main agreement, list of included fixtures, building inspection, title deed, and measurement certificate. Merge everything into one signed dossier. Buyer and seller sign digitally via the sign tool and the dossier is closed with flatten so it is no longer editable.

Redact sensitive information
Draft purchase agreements circulating between multiple parties sometimes contain sensitive financial details (mortgage amount, appraisal value). Use the redact tool to permanently remove passages before sending a draft to a third party — for instance to a contractor who only needs the building survey section.
Protect and deliver the dossier
Never send final purchase agreements without protection. Use the protect tool to set an opening password. Send the password via a separate channel (e.g. SMS). Compress the secured dossier with the compress tool for email delivery (most mail servers accept max. 10 MB).
Compile the handover pack
At the notary closing the agent hands the buyer a complete handover pack: purchase agreement, all attachments, warranties, and the key handover declaration. Bundle everything into one PDF so the buyer has a single, complete file that can be permanently archived.
