PDF for home care organisations: care plans, reports and handovers

2 min read·25 July 2026

Home care organisations and care coordinators work with structured care plans, daily reports, medical handovers and privacy-sensitive files. PDF keeps all those documents standardised, secure and shareable among all involved carers.

Care plan as PDF

A care plan describes the client's care needs: personal details, medical background, objectives, planned support per day and responsible carer. Create as a PDF form with fillable fields. Carer and coordinators sign. Update every six months or when needs change.

Daily reports

After each care session the staff member records observations: how is the client, any notable events, was medication taken. Create a PDF report form with date, time, staff name and open fields. Flatten and store per client and per day in a digital client record.

Medical handover

On hospital admission or change of carer, a medical handover is required. Create a standardised PDF handover form: medication list, diagnoses, care goals and emergency contact. Send securely by email to the receiving carer.

Privacy and data protection in care records

Care records contain special category personal data (medical). Always store as password-protected PDFs with access restrictions. Never send unprotected by email. Ensure staff can only access the files of their own clients.

Client satisfaction survey

Annual satisfaction surveys are issued as PDF forms with fillable fields to clients or their representatives. Collect completed forms, flatten and retain. Use the outcomes in the annual report as PDF.
