Quality managers maintain procedure documents, quality manuals, audit reports, and CAPA forms in compliance with ISO 9001, ISO 13485, or GMP guidelines. Consistent PDF handling is the foundation of a manageable document control system.

The quality manual goes through annual revisions. Merge the current version with the revision history, distribution list, and approval signatures. Use the version date and version number as metadata and in the header of each page so outdated print versions are recognisable.

An ISO audit report contains audit findings, non-conformities, and associated CAPAs (Corrective and Preventive Actions). Merge the audit report with all related CAPA forms. Use a colour-coded stamp per CAPA status (open = red, in progress = orange, closed = green).

Archiving calibration reports

Measuring and test equipment is periodically calibrated by an accredited laboratory. Compress calibration reports and archive them per instrument identification number in the document control system. Add an OCR layer so the instrument name and calibration date are searchable.

Bundling supplier assessments

The annual supplier assessment consists of a scorecard, audit report, complaints overview, and supplier declaration. Merge assessment documents per supplier in chronological order for the procurement department.

Product specification as certified PDF

Product specifications for regulated industries (pharma, medical devices) require a signature from the QA manager and a last revision date. Insert the signature via the sign tool, flatten the form, and archive it as PDF/A for FDA 21 CFR Part 11 or MDR compliance.
