PDF documentation for property — purchase, lease and management
2 min read·25 July 2026
Property transactions involve dozens of PDF documents: purchase agreement, valuation report, energy certificate, structural survey, rental contract. This guide covers how to organise, review and archive all those documents.
What PDF documents are involved in a purchase?
When buying a property you receive: • Purchase agreement (PDF from notary or agent) • Valuation report • Structural survey • Energy performance certificate (EPC) • Bank guarantee or deposit confirmation • Transfer deed (notarial) Keep everything in one folder per property, sorted by date.
Review documents before signing
Read the purchase agreement carefully as a PDF. Use PDFrust OCR if the PDF is scanned and you want to search the text. Add comments via a PDF viewer (Adobe Reader) for questions to the agent. Print and scan signed back, or sign digitally via PDFrust Sign.

Bundle rental contract with inspection reports
Landlords and tenants bundle: rental contract + entry inspection report + photos of the property. Use PDFrust Merge to combine everything into one PDF case file. Stamp with the move-in date via PDFrust Stamp.
Energy certificate: validate the PDF
An energy certificate is an official PDF document from the national authority. Check its validity via the official government portal. Keep the original PDF — not just a screenshot. Energy certificates are typically valid for 10 years.
Managing multiple properties
Have multiple properties? Create a folder structure per property: /Property_12_HighStreet/Purchase, /Tenants, /Maintenance, /Insurance. Use consistently named PDFs per category. For professional property management: consider property management software that automatically links PDFs to properties and tenants.
