A well-organised digital archive is essential — for personal use (taxes, contracts, warranty cards) and business (invoices, correspondence, legal documents). PDFrust helps you prepare PDFs for archiving.
Archiving criteria for PDFs
A well-archived PDF is: searchable (selectable text or OCR applied), compact (compressed), named descriptively (YYYY-MM-DD_Subject_Party.pdf), and password-protected for sensitive content.
Archiving scanned documents
Apply OCR to scanned PDFs so you can search them later with Ctrl+F. Then compress for efficient storage. A scanned receipt of 5 MB typically becomes 200–500 KB after compression and OCR.

Set metadata for findability
Add descriptive metadata via the metadata tool: set title, author, date, and keywords. This makes files findable via search functions in Windows Explorer or macOS Spotlight — even without remembering the exact filename.
PDF/A format for long-term storage
PDF/A is an ISO standard for long-term archiving — all fonts embedded, no external dependencies. This is the recommended format for official archiving. Ask your print shop or PDF export software whether they support PDF/A output.
