Export presentation as PDF — Keynote, Google Slides and PowerPoint
2 min read·25 July 2026
Want to send a presentation as a PDF so anyone can open it without special software? Here is how to export a presentation to PDF from Keynote, Google Slides and PowerPoint, including handout options.
Export Keynote to PDF (Mac/iPad)
Open your presentation in Keynote. Go to "File" → "Export To" → "PDF". You can choose to export slides one per page, or as a handout with 2–6 slides per page. You can also include presenter notes and choose whether animations are split into separate slides. Save as PDF.
Export Google Slides to PDF
In Google Slides: "File" → "Download" → "PDF Document (.pdf)". Google exports each slide as one page. For handout format (multiple slides per page), use "Print" → "Handouts" → download as PDF from the print preview.

Export PowerPoint to PDF (Windows)
In PowerPoint: "File" → "Export" → "Create PDF/XPS Document". Click "Options" for more control: slides or handouts, how many per page, whether to include notes. Choose "PDF/XPS Document" for the highest quality result.
Create a handout PDF with multiple slides per page
Handout PDFs are useful for printing after a presentation. All three tools let you set 2, 3, 4 or 6 slides per page. 3 slides per page is standard (with note space next to each slide). In PDFrust you can also use NUP to combine multiple pages per sheet after export.

Presentation PDFs with many images can be large (10–50 MB). Use PDFrust Compress to reduce file size before emailing. Choose a lower quality setting if high print resolution is not needed.
