PDF guide for account managers and sales executives

Account managers create quotes, process contracts, and communicate with clients via professional presentations. With the right PDF tools the commercial administration is fast, every document looks sharp, and the approval process is transparently documented.

Formatting quotes professionally

A quote consists of an offer, product list with prices, delivery times, payment terms, and general conditions. Merge all components into one PDF using the merge tool. Stamp the quote with a validity date ("valid until 31 October 2026") and your name. Protect the quote with an opening password so the price cannot be modified by the recipient.

Processing and archiving sales contracts

After the quote is approved, the contract follows. Create the contract as a fillable PDF form via the formFill tool: the client fills in name, billing address, and date. The client signs digitally via the sign tool. Finalise the contract with the flatten tool. Archive per client ID in a secured CRM PDF archive.

Creating and sending client presentations

A client presentation shows the value proposition, case studies, and product overview. Merge all elements into one PDF presentation. Add a "CONFIDENTIAL" watermark via the watermark tool if the presentation contains competitively sensitive information. Compress the file for email delivery (max. 10 MB for most mail servers).

Documenting pipeline and deal status

Account managers report monthly to their sales manager on ongoing deals. Merge quotes in various stages into one overview PDF per month. Stamp each quote with the deal status (prospect, in negotiation, won, lost). This gives a visual overview that can be quickly shared with management.
