PDF guide for midwives

1 min read·18 August 2026

Midwives manage pregnancy dossiers, ultrasound reports, birth records, and transfer documents. Accurate PDF handling supports continuity of care and complies with health privacy requirements.

Bundling pregnancy dossiers per trimester

The pregnancy dossier contains the intake, measurements per consultation, ultrasound reports, and laboratory results. Merge documents per trimester with clear section labels as bookmarks. This facilitates transfer to the hospital on referral or during a home birth to hospital transfer.

Compressing scan reports and images

Ultrasound images are high-resolution images that significantly increase PDF file size. Compress the scan PDF after receipt from the hospital so the file fits within the upload limit of the electronic obstetric record system.

Drawing up and signing birth records digitally

The birth record is completed immediately after delivery and requires the midwife's signature. Use the formFill tool to complete the standard sections and add the digital signature. The final record is flattened as a non-editable document stored in the dossier.

Securing transfer letters for postnatal care

The transfer letter to postnatal care or the hospital contains sensitive medical information. Secure the PDF with a temporary read password communicated verbally. Set an expiry date for access after the postnatal period.

Archiving the postpartum dossier

After the postnatal period, the obstetric dossier closes. Convert the complete dossier to PDF/A-1a for archiving for a minimum of fifteen years. Remove all temporary notes and interactive fields.
