PDF guide for mediators and conflict resolution professionals

1 min read·1 October 2026

Mediators manage confidential case files, draft agreements, intake forms, and session minutes. Correct PDF management is essential for confidentiality, archiving, and the legal validity of the mediation file.

Building a mediation file per case

Each mediation file contains: intake form, confidentiality agreement, session minutes, draft agreements, and the final settlement agreement. Merge all documents per case into one PDF file. Insert bookmarks per session date for quick navigation.

Creating and signing session minutes

After each mediation session you draw up minutes of the agreements made. Fill in the minutes template via the formFill tool. Have all parties sign digitally via the sign tool. Finalise the minutes with the flatten tool and archive them in the file.

Processing the confidentiality agreement

A confidentiality agreement (NDA) is the legal basis of the mediation process. Make the document fillable via the formFill tool. After all parties have signed: flatten the document so no further changes are possible. Encrypt the final version with the protect tool.

Finalising the settlement agreement

The settlement agreement is the legally binding conclusion of the mediation. Merge all relevant attachments (debt schedule, asset overview, child custody arrangement) with the agreement into one PDF. Have all parties sign and finalise the document with flatten. Store a password-protected archive.
