PDF guide for local government officers and public servants

Process permit applications

Publish council documents

Council decisions and minutes are published publicly. Export as PDF and verify that confidential information has been redacted (e.g. personal data in objections). Compress for web publication.

Archive citizen correspondence

Letters, emails, and objections from citizens are archived as PDF per case. Stamp on receipt with date and case number. Merge the council's response with the objection in the chronological correspondence file.

Redact data protection-sensitive documents

When disclosing documents (FOI requests), personal data must be removed. Use the Redact tool to permanently delete names, addresses, and national identity numbers from the version to be disclosed. Retain the unredacted version in the internal file.
