Prepare and sign tenancy agreements
The tenancy agreement consists of the contract, house rules, energy label annex, and inspection schedule at commencement. Merge all components into one document. Sign the agreement digitally and flatten after signing so it is no longer editable.
Compile inspection reports

Correspondence about rent increases, service charges, and renovations is archived per property. Merge all correspondence per tenant into a historical file. Use bookmarks per year for quick navigation when responding to tenant queries.
Document dispute procedures
When a tenant raises a dispute (rent increase, termination), a file is built with all relevant documents. Merge the dispute letter, tenancy agreement, correspondence, and evidence. Protect the file to make it unmodifiable as evidence before a rent tribunal.
