PDF guide for financial controllers
2 min read·17 August 2026
Financial controllers consolidate management reports, annual accounts, and budget analyses for the board, supervisory board, and external auditor. The right PDF workflow ensures consistent formatting, version management, and audit-proof archiving.
Formatting monthly management reports
The monthly report consists of an executive summary, profit and loss account, balance sheet, cash flow overview, and commentary. Merge all sub-reports in the established reporting structure. Use the numbering tool to add consecutive page numbers so the report can be archived as one document.
Preparing annual accounts for the auditor
The external auditor receives the draft annual accounts as a secured PDF with read rights but no editing rights. Use the protect tool to block printing and copying. Add the CFO's digital initials on the closing page before sending.

Budget versus actual: compressing tables
Extensive budget analysis files with Excel exports sometimes run to hundreds of pages. Compress the combined PDF for email delivery to divisional directors without losing table accuracy. Use the split principle to generate a separate dossier per division.
Audit trail in the PDF dossier
Add metadata to the annual accounts PDF with the last modification date, version designation, and author. Use the metadata tool to set consistent document properties. In response to audit requests, the audit dossier can easily be reconstructed.
Archiving cash flow statements as PDF/A
Legally required financial documents must be retained for at least seven years. Convert the final annual accounts to PDF/A-1b for long-term archiving. Remove interactive elements (links, form fields) that could compromise archive integrity.
