PDF guide for drone pilots and RPAS operators

Drone pilots (Remote Pilot Aircraft Systems) process flight plan applications, airspace authorisations, insurance certificates, and operational manuals. Correct PDF documentation is required by aviation authorities and Eurocontrol.

Flight plan application for special operations

For flights outside the standard open category, the aviation authority requires a detailed flight plan. The plan contains a map of the flight area, risk assessment, emergency procedures, and contact details. Export the map as PDF, merge the risk assessment and contact information, and secure the dossier for submission.

Operators of drones heavier than 900 grams must maintain a registration number and drone identification dossier. Merge the CE marking document, weight certificate, registration proof, and insurance certificate per UAV registration number.

Updating the Operational Manual (OPS Manual)

The operational manual for specific category flights must be submitted to the aviation authority for SORA approval. Update the manual as PDF and add a version page with date and approving signature. Use page numbers so the authority reviewer can reference specific paragraphs.

Archiving the flight log as PDF

European drone regulation (EU 2019/947) requires a flight log per flight for specific category operations. Export the digital flight log monthly as PDF and archive it with date and registration number. Use OCR for paper logbook pages from historical flights.

Securing location reports for clients

After an inspection mission (e.g. dike inspection, solar panel check), the drone pilot delivers a report with georectified maps and recommendations. Compress the report and secure it with a read password for the client. Add the GPS log as an annex.
