PDF documents for data protection officers

2 min read·1 December 2028

Data protection officers (DPOs) manage records of processing activities, DPIAs, data breach reports, and correspondence with the supervisory authority. PDFrust helps privacy officers organise GDPR files.

Documenting the GDPR processing register

A record of processing activities under Article 30 GDPR contains per processing activity the purpose, legal basis, categories of data subjects, retention periods, and security measures. Merge the processing register with the corresponding processing agreements per processor. Compress the complete register for periodic submission to management.

Bundling DPIA reports

A data protection impact assessment (DPIA) results in a risk analysis, a consultation record, and a measures plan. Merge per processing activity the DPIA with the underlying risk analysis, consultation documentation, and approval decision. Store DPIAs per system or processing activity in a structured file.

Documenting data breach procedures

A data breach generates an internal notification report, a risk weighting, a notification to the supervisory authority, and any communication to data subjects. Merge all notification documentation in sequence: internal report, supervisory authority notification, data subject notification, and follow-up report. Compress for archiving in the data breach register.

Storing GDPR documentation safely

Privacy documentation contains sensitive information about processing activities, risks, and vulnerabilities. PDFrust processes all documents locally on the device — no cloud storage. Password-protect GDPR files with a strong password. Remove metadata from documents shared with the supervisory authority.
