Format an instruction manual as PDF: tips for clear documents

Structure of a good manual

A manual has a fixed structure: an introduction (what is this for?), requirements (what do you need?), step-by-step instructions (numbered), warnings and troubleshooting, and an end result or checklist. Use clear numbering for steps so users can find their place.

Page numbers and table of contents

Add page numbers via the Page Numbers tool on PDFrust. Choose a position that fits the layout (standard: bottom center or bottom right). A table of contents on page 1 makes navigation easy for long manuals. Create the table of contents in your source document (Word/Google Docs) before exporting to PDF.

Header with document identification

Use the Header/Footer tool to add a header with the product name, version number and date. This way a user always knows which version of the manual they have. This is critical when multiple versions are in circulation.

Optimize images and diagrams

Manuals often contain screenshots and diagrams. If the file size becomes too large, use the Compress tool. Ensure images are large enough to be readable — too-small screenshots make manuals frustrating. Use the Resize tool if pages are too small for the images.

Protect against editing

If the manual is final and you want to prevent others from changing it, use the Flatten tool to merge form fields and layers, and add an editing password. Users can then read and print the document but cannot edit it.
