Elements of a professional presentation PDF

A professional presentation PDF has: consistent margins (15–25 mm on all sides), page numbers on every page (except the title page), a header or footer with the organization name or document title, no unnecessary metadata (author name, edit dates), and an optimized file size for emailing.

Add a header with the document title and a footer with page number and organization name via the Header/Footer tool on PDFrust. Choose an appropriate font (Arial, Helvetica or Times New Roman for professional documents) and font size (8–10 pt for footers). Position the footer centered for symmetry or right-aligned for a contemporary design.

Check and adjust margins

Margins that are too narrow make a document look busy and unprofessional. Check your PDF margins: if they are narrower than 1.5 cm, use the Margins tool to add extra space. Standard professional margins are 2.5 cm left/right and 2 cm top/bottom.

Adjust metadata for credibility

Metadata says something about who made the document. In the Metadata tool set the author name to your company name (not your personal name), the subject to the document description, and remove editing software information. This is a subtle but professional touch that shows attention to detail.

Compress for email and sharing

A large presentation PDF (> 10 MB) is cumbersome to send by email. Use the Compress tool on PDFrust to reduce the file size without noticeable quality loss. Target: under 5 MB for emails, under 1 MB for use in messaging apps.
