Combine Word, Excel and PowerPoint into one PDF — complete guide

Have a report in Word, data in Excel and a presentation in PowerPoint and want to bundle everything into one PDF? This guide covers the best approach to combine files from different Office applications into one professional PDF.

Step 1: export each file to PDF

Export each Office file separately to PDF: • Word: "File" → "Save As" → PDF • Excel: "File" → "Save As" → PDF (choose "Active Sheet" or "Entire Workbook") • PowerPoint: "File" → "Export" → "Create PDF/XPS" You now have three separate PDF files.

Step 2: merge PDFs

Use PDFrust Merge to combine the three PDF files in the desired order. Drag the files in the correct order: Word document → Excel tables → PowerPoint presentation. Click Merge. Done.

Excel: which pages are exported?

Excel exports the active sheet by default. Want multiple worksheets in the PDF? Select all relevant sheets (Ctrl+click on the sheet tabs) before exporting. Or export "Entire Workbook" if all sheets are relevant. Note: empty rows and columns are exported — hide them for a clean PDF.

Page numbers running across multiple files

After merging, page numbering does not automatically continue across the combined documents. Add consecutive page numbering to the combined file via PDFrust Page Numbers. This gives the reader a consistent reference throughout.

Add table of contents to the combined PDF

For a professional combined report: add a table of contents as the first page. Create this as a separate Word page with page numbers, export to PDF and add as the first file when merging. Or use PDFrust Add Blank Page for a title page.
