Process operators in the chemical, petrochemical, and food industries work with operating procedures, work permits, safety data sheets (SDS), and incident reports. Correct PDF management supports safety assurance and statutory documentation obligations.

Merging operating procedures per installation

Each process installation has a library of operating procedures: start-up procedure, normal operation, shutdown, and emergency procedure. Merge all procedures per installation into one PDF handbook. Insert a table of contents and bookmarks per procedure type. Stamp each procedure with the version number and revision date.

Stamping and archiving work permits

In the process industry, a work permit is required for all maintenance activities. Stamp the work permit with the date, installation ID, shift leader's signature, and the responsible contractor. Archive completed work permits as PDF/A for regulatory audit documentation.

Digitally managing safety data sheets

SDS sheets are received from suppliers and updated with new substance versions. Merge the current SDS per storage location or production area into one overview PDF. Apply OCR so hazardous substances are searchable by name.

Merging incident reports

An incident report covers the incident description, immediate causes, root causes, and corrective measures. Merge the incident report with photos, witness statements, and work permit copies into one PDF per incident ID. Archive in accordance with the statutory retention obligation.

Archiving last-minute risk assessments

The Last Minute Risk Assessment (LMRA) is completed by the executing employee before each task. Scan the handwritten LMRA form and apply OCR so names, task descriptions, and risk checkboxes are searchable in the safety management system.
